Agenda

·         Review updated Spring and Summer 2020 calendars with updated withdrawal dates
·         Review Fall 2020 calendar
·         Discuss possible changes to calendar considerations and committee charter

Spring and Summer 2020
·         Spring and Summer 2020 calendars were updated to reflect the withdrawal deadline being changed to 65% of the term
·         The rationale for the change was to allow students to stay in attendance after the 60% mark so that a Return of Title IV calculation does not have to run and a balance due created on the student's account. 
·         The calendar considerations have been updated to reflect the change to 65% withdrawal deadline.

Committee Charter and Membership
·         Scott has received pushback on calendars that have been approved by Committee
·         Other leaders at College were not aware of what all has been discussed at calendar meetings and are not receiving information from their areas representatives
·         Organization of College has changed since the charter was created and we need to discuss if we are currently representing all areas

Fall 2020 Calendar
·         Fall 2020 calendar was reviewed by the committee to determine the number of meeting days, add/drop days and holidays were correct based on calendar considerations
·         Withdrawal dates for each term were calculated by Matt Anzur and added to the calendar
·         Dates that were out of sequence and terms missing information were corrected
·         Motion to approve calendar pending the review of Enrollment Calendar by Registrar’s Office was made by the Registrar and approved by majority vote
Exam Schedule
·         The issue is that every 4 or 5 years of creating the calendar we run out of days and one option is removing the exam schedule which has also been an issue when creating the calendar
·         Online exams are a solution for hybrid classes, but there is a concern that the integrity of testing is compromised by the online format
o   The number of online courses is increasing
o   Certification bodies are questioning how we are certain the actual student is taking the course
o   Do we have software in place to administer online exams?
o   Hybrid courses currently do not have standard meeting times which creates an issue
·         The question was raised how exams are an issue of the calendar committee
o   While issues on how a test is given or if a test is given is not a calendar committee issue how exams fit within calendar is within the scope of the calendar committee
·         Would it be beneficial for Scott to present this question to Faculty/Senate?
o   Group agreed it should be presented to Faculty/Senate after the group comes up with solutions
·         Currently, the exam schedule does not work for every department or division
·         Other options discussed outside of completing eliminating exam schedule:
o   Removing PD days
o   Shortening Spring Break
o   Longer Fridays to accommodate exams
o   Changing meeting patterns
o   No longer counting days
o   Weekend exams
o   Not having the exam at the same time as there scheduled class times similar to Clemson’s current schedule
·         If exam schedule can be created before advising the Registrar’s Office would like to upload it to Banner for the course and that would put the exam schedule on the student bill and schedule
·         Would like to avoid manipulating calendar designated days because it causes too much confusion

·         Discuss potential changes to calendar considerations that would alleviate issues faced when creating the calendar
