The minutes of the March 10, 2020 meeting were approved as presented.

Review of Academic Year 2019 – 2020

Key events in the past year

·       Continuity planning; novel initiative; everyone prioritized and thought strategically; was very successful

·       2020-2030 Strategic Planning process; shows how far we have come with strategic thought; will help the college be successful in the future

·       Learning Commons was learning how to extend its reach; was well done and well received

·       Health Education Division five-year plan; automated admission for Nursing; identified the role of community campus directors

·       Collaboration has been big; support from many units; efficiency was seamless

·       Great effort from employees and students; maintained excellence and access

·       Learned how people advise; methods used; how reliant we are on face to face; some value in remote advising, integrated with face to face can make advising robust

·       First Fall semester in Ruby Hicks went really well as far as IT; will continue to deliver excellent service as we move offices and are off campus

Dynamics of the Year

·       New and seasoned employees used their collaborative experiences to make things work

·       Structures were in place, but offices went above and beyond

·       Adaptability was key; responsive to constantly changing dynamics; comfort level with technology increased; forced to embrace, but will be beneficial moving forward

·       Tenacity – commitment was evident daily

What did we learn as a college from things that went well?

·       What mattered to us; student priorities

·       Adaptability to benefit the student; simplify processes

·       Value of collaboration; faster response to a situation

·       Doing what’s right for the student is at a different level now; we know the resources

·       Appreciation and respect for the work colleagues do across campus

·       Responsiveness; what resiliency looks like

·       The institution moved in unison; with clear goals and pressure, we can make it happen

·       Clear priorities; do less better

·       Need consistent self-reflection; am I a help or a barrier?

·       We all need each other differently too

What are the take-aways that we want to use in the future?

·       Authentic communication; direct and to the point

·       Don’t shift back to old ways of business; this is the new status quo; keep moving forward

·       Narrow set of priorities helps us to focus as an institution

·       Continue communication with students; stay engaged and connected

·       Were forced to design services in all venues; should this become an outcome?

·       Perspective of others; fair, equitable, accessible; continue this practice

2020-2021 Overview

·       Uncertainty; fear and anxiety also create opportunity; having a clear goal and priorities worked well

·       Review of document; “optimize for adaptability”; reviewed the seven priorities

·       Taskforce – how to adapt in response to a change in the environment; how we adapt will help us be successful; apply past learning to future work

·       Think about roles as leaders throughout the college; incident command system roles adapted to higher education; must translate ideas to roles

·       Taskforce will prepare for future actions/responses

·       Discussed examples of effective leadership in a crisis

o   What do you need?

o   Is there an alternative?

o   Make a decision and own it?

o   Effective leader shares what they know and what they don’t know; creates trust to move together 

o   Know the brand and be true to it; redirect impacted people and resources; be willing to walk away from the wrong partner

What help/support do you need in your areas to help your group be responsive to rapid change?

·       Ability to make decisions; nimble and agile; we are not one size fits all

·       Agility and responsiveness

·       Review policies and procedures; remove barriers

·       Agree that we need to be adaptable; don’t create barriers

·       Put unspoken policies and rules on paper

·       It’s easy to look at others;  look at the things we own and ask hard questions; look for areas of opportunity and growth

·       Focus; clear priorities

·       We are continuing to adapt well; with strong collaboration and teamwork we have an increase in summer enrollment which is not the norm throughout the state.

Next Meeting – FTE Prioritization

·       Legislators passed a continuing resolution so they could take up the budget next year;  will pick back up in late September; we can continue to spend budgets, but no new funding until the state budget is in place

·       State economy is strong; surplus, but spending down quickly

·       TCTC should have the same operating budget for 2020-2021; stable

·       Put new hiring on hold; will prioritize so that we are ready; will provide meeting criteria and copies of FTE requests; will prioritize high, medium, low

Announcements

Sarah – Drop-in labs will continue this week; assessing the need as they go along

Tim – Noted the catalog and the good team work involved to make it happen; all campuses are highlighted; let him know how community campuses can help with resources

Mark – Reorganized Student Development a little; Croslena Broadwater-Johnson is now Director of Student Support; Accessibility Resources will report to her; will have all access services under one purview; ACR has a new employee, Lexi Moore

Linda – the Chief Student Services Officers’ peer group will help sister colleges that are struggling; noted Title IX updates and changes

Mary – Reported that they are embedding tutors and librarians in College Skills and E-learning Skillshops; more people to help students; adding virtual office hours; embedding in English and Spanish courses, too; Skillshops are available to all students

Tasheka – Let her know of any advising issues so her team can help; conducting multiple measures pilot with Bridge students this summer

Glenn – Noted the many phone calls and hard work for summer and fall; high touch

Jenni – 4% increase in enrollment; amazing effort and results; celebrate your teams!!

Rick – Received the Power Line grant; funding was less than anticipated but negotiating prices balanced that out

Gabe – Appreciates Tim Bowen’s help with resources; Sisireia Simmons is now the Assistant Director of TC Central

Marci – Trying to do Human Resource Office functions; if anyone needs assistance, reach out to HR

Tiffany – Let her know of any issues with online orientation; working with Glenn and his team on fall

Galen – Thanks to everyone!
