Calendar Committee Administrative Updates
·         Spring and Summer 2020 Academic Calendars
o   Tuition deadline for Spring 2020 was moved to Wednesday, December 18th to allow students 1.5 days with assistance from faculty/staff members if their schedule is purged
·         New Committee Members
o   F. Carlos Howard will represent the Student Support and Engagement Division
o   D. Scott Brabham will represent Engineering and Industrial Technology Division
o   Scott Harvey will meet with new members to go over purpose, way of business and review calendar considerations
·         Meeting Time
o   Previously agreed on meeting time of earlier in the day does not work with everyone’s teaching schedule
o   Carlos will be present at meetings and not skyped in going forward
o   Will make meetings as early as early as possible to accommodate everyone’s schedule
·         Meeting Minutes
o   Motion to approve meeting minutes from September 10th was approved by majority vote
·         Rotation Schedule for Members
o   Rotation off schedule of committee members is staggered

Fall 2020 Academic Calendar
·         Session A e Deadline
o   Currently the drop period is 5 days and ends at 2pm on Friday
o   Question was posed, why can’t drop deadline be extended to 11:59pm on Sunday
§  This is with the understanding that the student would be dropping with no assistance from 2pm on Friday to 11:59pm on Sunday
o   Students have a week to make a decision and if they do not make a decision by 2pm they are penalized by having a withdrawal and being financially responsible
o   Concerns?
§  Administratively for the Registrar’s Office/Student Data Center, moving the 11:59pm on Sunday would not be an issue
·         Scott explained past drop flag that was in Banner and current minimum hours setting that allows a student to drop classes that is currently being tested
·         Because of minimum drop setting, we have the technology to extend until 11:59pm on Sunday without issue
§  Faculty perspective
·         Group could not see any reason this would present issues for Faculty
§  Concerns about changing the deadline for Session A and no other sessions
·         Creates inconsistency and confusion when only done for one term
§  Concerns about faculty/staff being available
·         Group agreed this is biggest concern
·          If a student does not know the process by Friday at 2pm, how can we expect them to understand over the weekend
§  Hybrid and Friday only classes
·         Students do not have a full 5 days to make this decision if their class falls under certain meeting patterns
o   Question is being posed because of the number of tuition reimbursements that are being done
§  ROSDC does not have a large number or students that request help with dropping, but unsure of TC Central, Faculty and Success Coaches
§  Unsure of the number of students that appeal
·         Are we trying to reduce the number of appeals or create a beneficial process for students?
§  If we are trying to create a process that allows a student to have a conversation with parents and make an informed decision, should we make the deadline the following Monday at noon
·         This would require a change in considerations, because the following Monday cuts into instructional time
·         Wouldn’t this create more issues or appeals if deadline during a time that faculty/staff members are not present
o   Currently don’t want to increase number of escalations sent to Registrar to review if an attempt was done before deadline
o   As discussed in Academic Leadership Team meeting, the registration deadline for Spring 2020 is being unofficially extended until 5pm on Friday
§  Current process is all RANS are deleted after 2pm even if a student was meeting with faculty/staff members until 2pm deadline
§  Should this unofficial extended time also be in place for Session A drops?
o   Unsure of number of appeals done, but group decided drop deadline for Session A should remain Friday at 2pm
o   Drop deadline for Session A will be revisited when a new Vice President of Academic Affairs is in place

o   Calendar was approved by majority vote, pending changes to Enrollment Calendar
